AI phone answering

The call you missed
was a job.

You are under a sink with both hands full and the phone goes. By the time you can call back, they have rung somebody else. This picks up instead, finds out what is wrong, and puts the appointment on your calendar while you carry on with the job.

What happens at 2:40 on a Tuesday

Two ways that call can go.

Without it

Four rings, then voicemail. Most people do not leave one. The ones who do are calling the next plumber on the list while they wait. You see the missed call at six, ring back at ten past, and it is already booked with someone else. You never find out what the job was worth.

With it

It picks up. It asks what has happened, gets the address, reads back the times you actually have free, and books one. When you check your phone at six, the job is on your calendar with the customer's name spelled right and a line saying what you are walking into.

On the call

It does the part
you would do yourself.

01

Finds out what is actually wrong

Not a menu. It asks, listens, and writes down the problem in the caller's own words, so you know whether you are bringing a washer or a whole unit.

02

Gets the name right

It asks people to spell their name and reads it back letter by letter, "G as in Golf". On a phone line B, C, D, E, G, P, T and V all sound the same, which is how Cardona becomes Bardona and stays that way in your records.

03

Only offers times you really have

It reads your live calendar before it offers anything. It cannot invent a slot, and it will not put someone in one that is already taken. If they change their mind mid-call, it moves the booking and gives the first slot back.

04

Takes the address before it books

Whoever drives out needs to know where they are going. It gets the street and the city, reads it back, and will not book a job without one.

After the call

It lands in two places
you already use.

No new app to learn and no dashboard to check. The appointment goes on your Google Calendar, exactly where the rest of your week is. Every call, booked or not, becomes a row in a Google Sheet: who rang, their number, what they needed, the address, and what was agreed. Open it on your phone in the van.

Google Calendar
Google Sheets

The calls themselves are not recorded and no transcripts are kept. Florida requires everyone on a line to agree before a call can be recorded, and rather than put you on the wrong side of that, we simply do not record. What you get instead is a written summary of the call, in the sheet, in plain English.

Nights and weekends

Nobody books a burst pipe
for Tuesday.

You tell it your hours, and what you want it to do outside them. If you run emergency cover, it stops offering appointment times altogether, because somebody standing in two inches of water does not want a slot next week. It says plainly that you are closed, takes the job, the address and a number, and tells them you will call back. If they describe gas, flooding or a burning smell, it tells them not to wait on that callback. If you would rather it kept booking overnight, it offers the next slot you actually have free.

It will not promise them a time you have not agreed to. If you want it to say "within the hour", you decide that, and then it says it.

Straight answers

What it will not do.

  • It will not pretend to be a person.

If a caller asks whether they are talking to a human, it tells them it is an automated assistant for your business, and carries on helping them.

  • It will not make something up.

If it does not know your pricing, your licence details or whether you cover a job, it says it will have someone confirm rather than guessing. A wrong answer costs you more than no answer.

  • It will not tell someone they are booked unless they are.

If the booking does not go through, it says so, and takes their details for a callback instead of leaving them expecting a van.

  • It will not handle a change of plan from yesterday.

Moving a booking works while the caller is still on that call. Somebody ringing back the next day to rearrange needs to reach you.

Pricing

$500 to set up.$200 a month.

That includes 400 minutes of calls a month, which is around 109 calls. Past that it is 50 cents a minute, and you will see that rate at checkout and on every invoice rather than discovering it later. No contract and no minimum term. If it is not earning its keep, stop it.

Already have the website chatbot? Adding the phone service is $250 rather than $500, because the setup work is already done. It runs off the same calendar and the same lead sheet. Your monthly goes to $300 for both.

Want both from the start? $750 to set up and $300 a month, which is the same place you end up if you add the second one later. Nobody is penalised for arriving at it in two steps.

What is one booked job
worth to you?

You know that number better than I do, and you know what it costs when the customer rings the next name on the list instead. Send me a message and I will call you back myself, or open the chat in the corner and put it through its paces first.
